Huddle room: the new trend for quick meetings

„Huddle up!” – This exclamation is used particularly in American football when the coach wants all the players to huddle up and put their heads together. The gathering of the players serves to discuss further tactics or to motivate and encourage. Based on this definition, it is not surprising that so-called „huddle rooms“ now also exist in the world of work with almost the same aim.

In these huddle rooms, employees can meet at short notice to discuss, collect ideas or present results. To ensure that you too can provide your employees with optimal huddle rooms, the rooms need to be equipped in the best possible way. This includes the furniture, but above all the media technology that you make available to your employees.

The huddle room: the choice of room

A company often has different room types that are set up according to requirements. There is usually a conference room, a separate meeting room depending on the size of the company and – if training courses are held – sometimes additional seminar rooms. The latest trend now also includes huddle rooms.

A huddle room is usually small, as it is only intended to be used for short, informal meetings between employees. For this reason, it is not designed for large groups, but usually only offers space for up to six people. A table and chairs must be available, and a huddle room can also be optionally equipped with notepads, a whiteboard and similar items.

Even if the room can be small, you should make sure that it receives as much natural light as possible and that there is good air circulation. Although a huddle room is not designed to be used for an entire working day, it still needs to have a good working atmosphere. The most important thing, however, is the hardware and software available.

The media technology in a huddle room

The more companies move towards the model of the „office of the future“, the more movement there will be in companies. Fixed workplaces are often abolished, as a large proportion of employees regularly work from home anyway. For this reason, the "bring your own device" (BYOD) trend is becoming increasingly popular. As an employer, you should therefore equip your employees with the technical devices that meet their individual work requirements.

Independent of the individual employees' portable computers, a huddle room should ideally also have a basic set of conference room technology. This includes video conferencing and presentation-ready systems. This includes a display or a projector, high-quality audio and video systems as well as the preferred video conferencing software.

However, the best media technology is useless if it cannot be operated. For this reason, it is essential that a connection between the laptop and permanently installed devices can be established as efficiently as possible. This is one of the reasons why Zoom Rooms is so popular, as it attaches great importance to fast and uncomplicated operation in every room and from every device.

Do you have to be physically present to huddle in the huddle room?

A huddle room is basically a place where several colleagues can meet spontaneously in a closed room to discuss something without being disturbed. When working in open-plan offices in particular, it is essential that employees are given the opportunity to meet separately.

But - as the model of the office of the future shows - physical presence is no longer a must in everyday working life. More and more frequently, employees are joining a meeting from different locations around the world. Thanks to features such as screen sharing or the division of participants into individual online rooms, many video conferencing software solutions are making the need for a physical meeting obsolete.

The prerequisite for digital huddle rooms to work perfectly is a fast internet connection and excellent camera and audio systems. After all, facial expressions and gestures are still important pillars of human communication and are therefore also highly relevant for the world of work. In the future, employees will be able to join huddle rooms within the company and add other people to the meeting online with just a few clicks.
