Especially for video conferences, but also for Präsentationen, where the participants are physically present, the correct lighting can make the difference between the success or failure of a meeting

In an open-plan office, many, often very different people with different opinions come together, each of whom prefers different lighting conditions. One person can concentrate better with natural daylight, while another needs the „full light döhnung“ to wake up early in the morning. 

In individual workplaces, this problem can often be solved by using separate (daylight) lamps. However, when many people come together in a conference room, it is never really possible to please everyone. Nevertheless, there are a few things you can keep in mind when designing your conference room. In particular, if you regularly hold video conferences, you should be careful when choosing the right lighting, as there is a lot you can do wrong here.

Lighting for video conferences: What you need to look out for

When you are faced with office or conference room planning, there are a few criteria to consider in order to ensure a comfortable and productive working environment for your employees - from the orientation of the furniture to positioning and choice of display. If you are planning to hold video conferences or presentations in the room in question, not only the choice but also the orientation of the light is relevant so that the participants can see everything that is shown on the display. 

In particular beamers are susceptible to light, which is why it should be possible to darken the windows in such rooms. However, it must not be too dark either, because otherwise you run the risk of those present complaining of headaches, getting tired or losing concentration, especially during long video conferences. It is also often necessary for video conference participants to take notes or communicate with each other in the meantime. If neither the notepad nor the interlocutor can be easily recognized, this detracts from the success factor of a conference.

The optimum lighting for video conferences

In a conference room that can accommodate several people and either a display or a projector, you can make an effort to coordinate everything as well as possible. The distance of the first row of seats in relation to the screen size is just as relevant as the ratio of the display to the room. In addition, the display should not be mounted on a wall that is opposite a window. Otherwise, no one will ever be able to see anything on it without appropriate dimming. For the same reason, the lamps should not be positioned so that they shine directly onto the display. Backlight and light from the side should always be avoided

Optimal is LED lighting from above, which can be adjusted or changed. While regulation refers to the dimming of the light, change means, for example, the choice of color. Some meetings require a bright white light, while others need a warm and calming ambience. The more individually you can change the lighting conditions, the more events and people you can please. Nevertheless, you should not exaggerate here either, as easy control of the light is the top priority. 

What can be particularly advantageous for video conferences or meetings is the distribution of light in the room. In this way, the display can be darkened so that a sharp image is visible. At the same time, participants can continue to be illuminated to see their notes and each other. 

In principle, there are no limits to creativity when it comes to the arrangement of lights and the spatial arrangement can often be underpinned by the targeted use of light. For example, the arrangement of several ceiling lamps can provide an optical division of the room and thus favor the division into groups. This is also possible with several separately operated LED panels.
